A closer look at new features that make your project data more usable, connected, and practical

At EVX Software, we don’t just build tools for others. We use them ourselves. Every update comes from real project challenges, whether from the Environmental Consulting and Engineering firms we support or from our own day-to-day operations.

That mindset guided our latest set of improvements. Instead of adding complexity, we focused on clarity, speed, and deeper integration between the key parts of your workflow: tasks, time, expenses, and financials.

In this article, we’ll walk you through the recent improvements, explain the problems they solve, and show how they can make a measurable difference in your project workflows.

Practical improvements that tackle real-world Project Management gaps

Project management software doesn’t have to be complex to be effective, but it does have to match how your work actually gets done. Environmental Consulting and Engineering firms face daily challenges that often fall through the cracks of generic systems: missed time entries, unclear labor breakdowns, or proposals built on guesswork instead of historical data.

Rather than layering on new tools, we focused on refining the ones our clients rely on most. These updates to EVX Software are shaped by the realities of day-to-day project work, aimed at helping your team reduce ambiguity, improve visibility, and spend less time fixing avoidable problems.

Here’s a look at what’s new and how each change can make your project delivery and financial management more dependable.

1- The Task Module: Now with a better labor context

The task module is the backbone of EVX Software. It’s where project activities live, and from it flow time entries, cost data, and billable work. But we heard from clients that while it’s easy to track “what got done,” it was harder to understand the type of labor involved.

What’s new:

  • Labor type and category can now be tagged and viewed alongside each time entry.
  • Role-based filtering and cost visibility help distinguish senior engineer time from field technician hours.
  • Each task now has improved summaries that show labor breakdowns without needing to run a separate report.

Why it matters:

This matters for both time management and cost recovery. Whether you bill different labor categories at different rates or need to report by role to clients or agencies, these distinctions improve the accuracy and clarity of your data, without adding extra work for staff.

2- Spot Unbilled Work before it slows you down

Work gets missed for all kinds of reasons: delays in approvals, lost receipts, forgotten entries, or tasks that fall between billing cycles. That’s why we introduced the Aging Unbilled Work report.

What’s new:

  • A single view shows how much unbilled time and expenses are sitting across projects.
  • Aging buckets by days, e.g., 0–30, 31–60, 61–90 days unbilled, help highlight where action is needed.
  • Direct links to push those items into billing workflows.

Why it matters:

Cash flow problems often start with invisible issues. This tool helps project managers and administrators take control early, making it easier to resolve bottlenecks and keep invoices moving without surprises.

3- Proposals tied to real project data

Inaccurate proposals can cause problems that last the whole life of a project. To help, we’ve improved how proposals can reflect real project history, especially when building from templates or past work.

What’s new:

  • The new Project Price Quote report lets you use task templates and historical cost data to create more grounded estimates.
  • Time, labor types, and expense data can be pulled directly from similar projects.
  • This tool works alongside your existing task structures—no need to start from scratch.

Why it matters:

For fixed-fee or lump-sum projects, having accurate cost assumptions at the start is essential. These improvements give you a way to forecast based on how work is actually done, not how it was imagined.

4- Small fixes that add up

Not every change is a headline, but many improve how you work daily. Here are a few small-but-significant adjustments:

UI and workflow enhancements:

  • Expense receipts are now easier to upload and are visible from more views.
  • Task lists have better filtering and sorting options, making it faster to find work by status or tag.
  • Time approval now shows more context, including the task and phase it’s tied to, so reviewers can make decisions faster.

Billing process improvements:

  • You can now approve groups of time and expenses directly from the aging report.
  • Flags for incomplete data—like missing receipts or unassigned billing codes—are more visible and easier to resolve.

5- Why These Changes Were Made

These aren’t “big bang” changes designed to make a splash. They’re practical improvements that reflect what consulting and engineering professionals deal with every week: reconciling hours, sorting out receipts, dealing with invoicing delays, and trying to understand how much of the work is actually getting paid for.

We didn’t build these tools because they look good on a features list. We built them because:

  • Someone couldn’t track how long an engineer spent onsite vs. prepping the report.
  • A project manager didn’t realize they were sitting on 60 days of unbilled time.
  • A firm lost hours trying to build a proposal because there wasn’t a good way to pull real cost data from past jobs.

Our goal is to help you avoid those situations.

It’s about making your work make more sense

These updates aren’t about giving you more software. They’re about making your existing data work harder for you. When your tools reflect the way you really work, decisions are faster, billing is cleaner, and proposals become stronger.

At EVX Software, we don’t just build what looks good. We build what works—because we need it too.

If these updates sound like they could help your team work with more clarity, we’d be happy to walk you through them. Book a demo and let us show you how these features fit into your current workflow.
